How does your service work? Back to Top The concept is easy: when you sign up for NIKAManager you will be assigned a dedicated email address where you can auto-forward all emails from you existing team mailbox. Within 5 minutes your emails will appear in NIKAManager and your team members can receive and respond to them online. They will also register emails using a form that you can design and populate fields that are important for you to track - for example, what supplier or group the email was from, what it was related to, priority of the request, etc. The same approach works with incoming faxes. How long does it take for my emails to appear in NIKAManager? Back to Top Emails from your designated email address are pulled into NIKAManager every 5 minutes. You can, of course, use this as ticketing system, but it is much more than that. You can use this service in many scenarios - for example, if you are managing work orders and are dealing with external suppliers and at the same time have to process incoming requests and coordinate your efforts with other groups/organizations. You can use NIKAManager as a central repository for all your operational data and also manage your team workload in a single place. How many members can I have in one team? Whenever your information is transferred to and from NIKAManager.com site we use 128-bit encryption technology, such as Secure Socket Layer (SSL), to prevent unauthorized access to data. We have robust application controls and procedures in place to protect your data. Further, we use third-party independent security consultants to help us assess our application security posture. Cybertrust, Inc. has conducted an Application Vulnerability Assessment of the NIKAManager in May and June of 2007. Do you take backups? Back to Top Yes. We backup all data on a daily basis to a secure external storage. We maintain backups for a period of 7 days. How much storage space is allocated to a team? Back to Top Each team is allocated 10GB of storage. Additional storage can be purchased at the rate of $10/month for 1GB. Does NIKAManager have live workload reports? Back to Top Yes. At any time you can view live summary reports showing workload in your team. By using drop-down menus you can get the same report sliced-and-diced any way you like: see the summary by user and priority, or by client, or by product, or by any field you set up! The summary report is very flexible and will give you an instant view of workload in your team. All the reports in NIKAManager are drill-down capable - from your summary report you can click on any category of interest and get a detailed list of items. You can also select individual items from the list to get even more detail, including all emails, faxes, notes, history etc. Does NIKAManager have historical reports? Back to Top Yes. Our easy-to-use interface will allow you to generate historical reports for any time period (annual, monthly, quarterly, period of time) and with any filters you specify. You can generate summary reports and then drill-down to detailed reports with easy. Or you can start by generating detailed reports and specify the fields you want in the report. Can I schedule reports to be generated and emailed automatically? Back to Top Yes. NIKAManager comes with robust report scheduling features that you can use to have reports be generated and emailed with any frequency you want (daily, weekly, monthly). You can apply multiple filters, define fields you want to be included in the report and define multiple report criteria and recipients. There is no limit on the number of scheduled reports you can set up. You will also be able to review your report execution history and see actual reports that were generated (in Excel format). If I have more than one team in my operation, can I have users that will be members of more than one team? Back to Top Yes. Users can be members of more than one team, and they can toggle between teams very easily. Can I send emails from NIKAManager? Back to Top Yes. Any email you send will be associated with the particular tasks you are working on. Your emails will appear as if they were sent from your original team mailbox. Can I send faxes from NIKAManager? Back to Top Yes. Any files that are uploaded into NIKAManager (either directly or through the process of sending emails) will be available for you to fax. It is as easy as sending email, but instead of an email address you specify a fax number, and any documents you select (or upload) will be faxed. Can I receive faxes in NIKAManager? Back to Top Yes. At your request we can set up a fax number in your local area code FREE OF CHARGE! If you already have a fax line, you can auto-forward it to the new number we will assign, or you can just use your new number. All your faxes will arrive in NIKAManager in PDF format and you can manage them just like your incoming emails. How many pages can I fax each month? Back to Top No. You can choose to allow your team members to start a new task by filling out a blank form without having to wait for an incoming email or fax. How do I design a new form? Back to Top NIKAManager provides an easy-to-use interface to design a form. Designing a form is a two-step process. First, you create fields that you want to include on the form. You can create up to 50 fields of different types (date, number, string, dropdown list), and specify field properties (for example, required field, audit trail field, default value, etc). When you have created all the fields you want to use, you then create a form using a very simple interface that allows you to select the fields you want and the sequence you want them in. Can I have tabs in my form? Back to Top Yes. When you design a form you can define tabs as well as which fields belong to which tab. It is all done using the same simple interface. Can I update an existing form? Back to Top Yes. You can modify your form any time you want. NIKAManager maintains version control of your forms, and you can see your live forms, forms that you have under constructions, and previous versions of forms.
